Operations & Rental Administrator

Paoli, PA (In Office)

The Operations & Rental Administrator plays a key role in supporting daily rental operations, administrative functions, and customer service. This position requires strong familiarity with rental management software and involves coordinating equipment orders, contracts, billing, and inventory, while assisting internal teams and customers.

Key Responsibilities:

  • Route incoming calls and respond to customer inquiries regarding equipment and rentals.

  • Assist with parts inventory, including ordering, receiving, and inventory control.

  • Prepare and issue purchase orders for equipment and supplies.

  • Maintain and review rental contracts, including Re-Rent contracts and approvals.

  • Coordinate equipment deliveries, pickups, and returns; ensure contracts are signed and updated.

  • Process billing, invoices, and specialized charges, ensuring accuracy and timely follow-up with vendors and customers.

  • Oversee documentation for regulatory filings such as IFTA and DOT requirements.

  • Maintain office and shop supplies as needed.

  • Support onboarding processes and assist employees with questions regarding software, benefits, or administrative tasks.

  • Provide support on special projects as requested.

Qualifications:

  • Experience with rental management software (e.g., Rentalman, Wynne, InTempo) required.

  • Strong organizational skills and attention to detail.

  • Ability to multitask and prioritize in a fast-paced environment.

  • Excellent communication and customer service skills.

  • Proficiency with Microsoft Office; advanced Excel skills preferred.

  • Experience in a rental, logistics, or operations support role is a plus.

Working Situation: 

This will be an in office position 5 days a week.
